Reinforcing the Notes linkage facilities for workflows (a new product only supported in version 05-10 for Windows)

• By installing Lotus Notes as groupware, you can link it with a Groupmax workflow.
• You can use the user interface of Lotus Notes to prepare, check and approve work-items.
• You can use the Groupmax workflow facilities to visually define workflows and to control the workflows in detail.

(1) Linking Lotus Notes with a Groupmax workflow

• You can create a workflow work-item document in the Lotus Notes database and then enter a work-item from the document into a Groupmax workflow.
• Groupmax workflow controls the workflow of the entered work-item.
• Groupmax Workflow for Lotus Notes periodically monitors the status of the work-item in the Groupmax workflow and applies status in the Lotus Notes database.
• With this facility, the next user can handle the work-item on Lotus Notes.

(2) Notification of new work-item mail arrival

• When a workflow work-item for you arrives, Lotus Notes mail notifies you. This lets you know of the arrival of work-items in a timely manner without having to reference the Lotus Notes database frequently.

(3) Starting a workflow work-item document from the Lotus Notes received-mail list

• You can directly start a workflow work-item document by double-clicking the mail on the Lotus Notes received-mail list.

(1) Defining a workflow

• As in the case of an ordinary Groupmax workflow, you can use Groupmax Workflow Definer to define business processes and roles.
• Also, you can use Groupmax Workflow Simulator to check the contents of a definition in advance.

(2) Creating a work-item processing application

• You can use Lotus Notes to create a work-item processing application.
• You can use OLE automation, provided by Groupmax Workflow Client - Library, to operate work-items on a Groupmax workflow from a Lotus Notes form.

(3) Defining users

• All of the Lotus Notes users of workflow applications must be defined as Groupmax users.
